Using the client data screens

The client data screens are used to display and store clients standing data. The data, entered by the user, is processed by First Choice Final Accounts to provide the correct information and details for the financial statements and Notes. Once entered, most data is carried forward period to period and does not need to entered again but may be edited as appropriate.

Note: For limited company accounts, all client data including related party transactions is pre-tagged or auto-tagged for iXBRL file creation. There is no necessity for users to tag the data.

To access the data screens click Client data pages (1)   or Client data pages(2)  
on the toolbar. For limited companies, you can also open the screens at a particular section or note by using the Client data selector.

The data screens have tabbed sections of related data and you can move from section to section to view, add or edit data.

There is only one page for Sole traders - this is the business address. For Partnerships on the Partners tab, you can add up to 12 partners' names,  fixed salaries and % profit shares. The total % must be exactly 100%. At least 1 partner must be entered, otherwise you will not be able to create final accounts.

There are a large number of data items for Limited Companies. Many are optional or not applicable in most company accounts. For reference, the items are listed in the following tables with brief instructions for data entry.


Client data pages(1)

Company Info Registered number Mandatory for all companies. Will fail validation if not entered. Should start with a  leading zero
Principal activity Mandatory for all companies. Will fail validation if not entered.
Change of name - Date & Old name Only enter if event took place in the current period
Date of Incorporation Only enter if event took place in the current period
Review of business Optional.
Future developments Optional
Principal risk (1 & 2) Only available for medium/large. Risk type formats as the note heading. Description as the note
Political & charitable contributions Optional
Company secretary Enter name if secretary has been appointed.
Directors Name Enter all directors who served in period
Loans to directors The totals (if any) are inserted automatically (from the trial balances and default to director #1. Edit the movements as appropriate and add  text. in the description box.
Guarantees on behalf of directors Optional. Enter values against each director's name as appropriate and terms of guarantee text.
Director signing accounts Mandatory. This defaults to # 1 if not entered.
Highest paid director Only available for medium/large. Select the director number and fill in the appropriate value boxes.
Accounting policies Additional accounting policies Add text as appropriate
Agents/Related parties Auditor/Accountant Mandatory for all companies. Will fail validation if not entered.
Type of firm Mandatory for all companies. Will fail validation if not entered.
Senior statutory auditor Mandatory for all companies with an audit report.  Will fail validation if not entered.
Date of engagement letter Only required for CA/ACCA report. Defaults to current date if not entered.
Solicitor/Banker details Optional
Registered office Mandatory for all companies. Will fail validation if not entered.
Related party transactions (1 to 4) Enter the applicable data for the disclosure note

Client data pages(2)

Share capital/
reserves

Share capital 3 classes of shares available. Complete all the boxes for at least 1 class. Will fail validation if not entered or the par value x the number issued differs from the trial balance.
Dividends proposed after BS date Enter value (if applicable) for disclosure note
More than one shareholder For report text
Share premium account analysis Balances (if any) are inserted automatically from the trial balances. Net account movement defaults to Premium on shares issued. Adjust accordingly.
Revaluation reserve analysis Balances (if any) are inserted automatically from the trial balances. Net account movement defaults to Revaluation surplus in period. Adjust accordingly.

Notes

Data for various notes to the accounts. Enter as applicable

Investments

Data for investment related notes to the accounts. Enter as applicable

Revaluations

Select the fixed asset. The cost per the trial balance defaults to total cost. Enter the appropriate values in the other boxes.

Commitments etc

Data for various financial commitment notes &  the Ultimate controlling party note. Enter the appropriate values or text. 

Notes (2)

Turnover analysis By activity - enter the name of the activity and value. By geographical area  -  enter the value for each area. Available for medium/large companies only.
Average number of staff Fill in values as appropriate. Available for medium/large companies only.
Own shares acquired and sold Enter the appropriate values and text.  The class numbers refer to the classes on the share capital tab. Available for medium/large companies only.
3rd party indemnity provisions Enter the appropriate text, if applicable.

Corporation Tax (tab not available for small companies)

Tax reconciliation Automatically calculated at a default 20% or 28% rate. Change rate as appropriate.
Factors affecting charge Difference between amount charged and amount calculated defaults to expenses not deductible. Enter values in the other factors as applicable,
Optional Note Enter applicable text.
Analysis of deferred tax Provision per trial balance defaults to Accelerated capital allowances. Enter other values if applicable.

Cashflow/ provisions

Grossing up tables for three cash flow groups Enter the outflows and inflows as applicable. 
Major non-cash transactions (3) Enter the appropriate description's). Only available for medium/large companies.

Provisions

Movement analysis (3) The balances B/F & C/F are automatically displayed. Net movement defaults to Additional provision.  Select type of provision and enter other values as applicable. Only available for Medium/large companies.

Depreciation Rates

Intangible asset note Enter text as appropriate
Fixed asset depreciation Enter the appropriate text for all assets depreciated
Land not depreciated Enter the value as applicable.
